Terms of service

These terms cover your company's use of VanCrew, run by the operator of VanCrew. "You" means the company that signs up, and the people it adds.

1. The service

VanCrew is a web app for trade teams: vehicle checks, a kit register, a notice board, a points league, a knowledge hub and an ideas box. We may improve and change features over time. We will tell you before we remove anything you rely on.

2. Your account

The person who signs up is the account owner and is responsible for who they add. Everyone signs in with their own email address. Keep your sign-in emails private, and remove people who leave.

3. Free trial and payment

New companies get a free trial (currently 30 days). After that we collect your plan's monthly price by Direct Debit through GoCardless, under the Direct Debit Guarantee. We never see or store your bank details. Prices are shown on the pricing page and are + VAT. If we change a price we will give you at least 30 days' notice.

4. Cancelling

You can cancel at any time by emailing hello@van-crew.com or cancelling the Direct Debit. There is no contract or notice period. After cancelling, your data stays available for you to export for 30 days, then it is deleted.

5. Your data

Everything your company puts into VanCrew belongs to you. We only use it to run the service for you. How we look after personal information is set out in our privacy notice.

6. Using VanCrew properly

Don't use VanCrew for anything unlawful, to upload things you don't have the right to share, or to try to get at another company's data. Photos for social media must only be posted with the customer's agreement.

7. Checks and compliance

VanCrew helps you record vehicle checks, defects and reminders. It does not replace your own legal duties as an employer or vehicle operator, and you remain responsible for keeping vehicles roadworthy and people safe.

8. Availability and liability

We work hard to keep VanCrew running and your data safe, but we can't promise it will never be unavailable. As far as the law allows, our total liability to you is limited to the fees you paid in the 12 months before the claim. Nothing here limits liability that cannot be limited by law.

9. Changes to these terms

If we change these terms in a way that matters, we will tell the account owner by email at least 30 days before it applies.

10. Law

These terms are governed by the law of England and Wales.
